These Terms and Conditions prevail in the event of any conflict or inconsistency with any other communications, including advertising or promotional materials. Entry instructions are deemed to form part of the Terms and Conditions. By entering this promotion all participants will be deemed to have accepted and be bound by the Terms and Conditions and to their details being communicated to the Promoter’s representatives so that the Promoter or its representatives can contact the participant in connection with the promotion (as necessary). Please retain a copy for your information.
1.PROMOTER: This promotion is operated by Co-operative Group Limited, a registered society under the Co-operative and Community Benefit Societies Act 2014, Registered No 525R with registered office at 1 Angel Square, Manchester, M60 0AG. References to “we”, “us” or “our” in these terms and conditions are references to the promoter.
2.OPENING AND CLOSING DATE: This promotion opens at 00:01 on 01 Jan 2025 and closes at 23:59 on 30 May 2025 (the ‘‘Promotional Period’’). Any entries made before the opening date or after the closing date will not be valid and will not be entered into this promotion.
3.ELIGIBILITY: This promotion is open to UK residents aged 18 or over who are members of the Co-operative Group only. However, employees of the Promoter (or any of its group undertakings and its agencies) who are directly connected with the creation and administration of this promotion are excluded from entering this promotion. Temporary Membership card holders are excluded from this promotion. This promotion is not available at independent societies, Midcounties, Central England, Southern or Chelmsford Star co-operatives, some Co-op franchise stores and concessions (such as Co-op Live) or in non-Co-op branded stores (such as Nisa). 4.HOW TO ENTER: Co-op members will be entered automatically into this promotion (subject to the requirements set out below) during the Promotion Period (members will not be automatically entered after 30 May 2025), when they:
4.1 spend a minimum of £5 (five pounds) in a single transaction;
4.2 scan their valid Co-op Group Membership card/Co-op App at the till in a Co-op Group Food store OR enter their Membership card details at online checkout via shop.coop.co.uk to enter; and
4.3 have selected a Local Community Fund Cause (the “Cause”) to support prior to the purchase.
5.TERMS, EXCLUSIONS AND RESTRICTIONS:
5.1 Every additional spend of £5 in the same transaction will gain an extra entry (for example, £5 = 1 entry, £10 = 2 entries) for the member into the prize draw. Any spend over the relevant £5 increment will not be added up to count towards an additional entry across multiple transactions.
5.2 A Cause can be selected via the Co-op Membership App, Website or by calling the Co-op Contact Centre on 0800 068 6727 for the periods 20 October 2024 – 25 October 2025 and/or 26 October 2024 – 24 October 2026, depending on which period the time of entry falls into, to be entered into the promotion.
5.3 At moments throughout 2025, members will have the opportunity to receive extra entries in to the draw.
5.4 Purchases consisting solely of any of the following products will be excluded from entry: first stage baby milk, postage stamps, lottery purchases, gift cards and vouchers, phone cards, in store concessions, PayPoint, cigarettes and tobacco, saving stamps, newspaper deliveries, carrier bags, mobile phone top ups and prescription medicines.
5.5 Multiple entries allowed. You have the right to request that you are not included in this promotion – please call the Co-op Contact Centre on 0800 068 6727 to opt out. Causes retain the right to opt out of this promotion and will have the ability to do so www.smartsurvey.co.uk/s/Thewinnersshareitall/.
5.6 Each Co-op Member and Cause can only win once within the Promotional Period. If a Cause has already won during the Promotional Period, the winning member will be sent a list of alternative causes in their local community to choose from. The winning member must choose a cause within 4 weeks of being first contacted. If a replacement Cause is not chosen within this timeframe, Prize 2 will be added to the Local Community Fund which will be distributed between all Local Community Fund Causes across the UK at the end of December 2025.
6.PRIZE:
6.1 There are 10 prizes to be won each calendar month during the Promotional Period, consisting of (1) £500 credit on the winners’ valid Co-op Membership card (“Prize 1”) and (2) up to £5,000 for the winner’s chosen participating Cause (“Prize 2”). We reserve the right amend, update or change these prizes at any time if it becomes necessary to do so.
6.2 Prizes are non-exchangeable, non-transferable and no cash alternative can be requested. Prizes are provided at our discretion, and we may substitute or change it for a prize of an equivalent or greater value if circumstances beyond our control make it necessary to do so.
6.3 Any credit under Prize 1 will be added to the winners’ valid Co-op Group Membership card and can be spent in Co-op Food stores, at Co-op Funeralcare or with Co-op Legal Services. We reserve the right to transfer any remaining balance on the winner’s Membership card to an alternative solution if it becomes necessary to do so.
6.4 The winners’ chosen Cause will be contacted via their primary and secondary email associated with their existing Local Community Fund project in regards to Prize 2. Causes can request a reduced amount if they are unable to use the full amount of Prize 2. The amount of money given per cause will not exceed £5,000. If the prize is deemed to be too much for the selected Cause, we will reduce the amount of money to suit the Cause’s needs at our discretion. If the selected Cause does not wish to participate and accept Prize 2, a replacement Cause will not be chosen, and Prize 2 will be added to the Local Community Fund which will be distributed between all Local Community Fund Causes across the UK at the end of December 2025.
6.5 The money received by the Cause can contribute towards a project applied for as part of the current Local Community Fund giving period, or a project supporting their local community in line with their objectives. We will ask the winning Cause to tell us what they will be spending the money on and when informing them of winning will ask for permission for their story to be featured in PR and other communications activity to raise awareness of the Local Community Fund and how the additional funding will help.
7.WINNER SELECTION: After the end of each calendar month, the winners will be selected at random from all entries received using a randomised computer generator. First selection will be on 3 February 2025 and last selection on 2 January 2026.
8.NOTIFICATION:
8.1 Member winners will be notified within 30 days of the draw closing each month, via the email address that is associated with their Co-op Group Membership account. Entrants must make sure that the email address associated with their account is up-to-date and active.
8.2 Member winners are contacted by:
- Initial contact
- via email to inform the Member that they have won.
- Second contact
- if no response is received to the initial email, a follow up email is sent after 5 working days.
- Third contact – if no response to second email after 10 working days, a call is made to the Member (if member has phone number on file).
- Final contact – if no contact is made after email and phone call (14 working days after initial contact), a letter is sent to the winning member with one final opportunity to collect their prize (within 14 working days) or they will forfeit the prize. The letter will be sent to the address held on the member’s file.
- If any winner declines a prize or fails to acknowledge the winning confirmation email or letter line with the process outlined above, they forfeit any right to the prize.
8.3 Cause winners are connected by:
- Initial contact – via a telephone call with a follow up email confirming cause has won.
- Second contact – if no response after 5 working days, a follow up email will be sent.
- Third contact – if not response after 10 working days, a final follow up email will be sent.
- Final contact – if no response is made after four weeks from first contact a letter will be sent to the local cause with one final opportunity to collect their prize (within 14 working days) or they will forfeit the prize.
8.4 Winners should allow 28 days from claiming the prize for delivery. We accept no responsibility where Membership cards are incorrectly scanned, where a Member enters with incomplete or incorrect information held on the Member’s record or where Cause has incomplete or incorrect information held on their file.
8.5 Cause winners will be notified within 30 days of the draw closing each month via their primary and secondary email address, and via the phone number that is associated with their Local Community Fund details. If any Cause fails to respond within 14 working days, this will result in the Cause not receiving their prize funds until the following calendar month. If any Cause declines a prize or fails to acknowledge the winning confirmation email within four weeks of last contact, they forfeit any right to the prize.
8.6 The promoter accepts no responsibility where a prize is lost, stolen, delayed in the post or unused.
9.DECISIONS OF THE PROMOTER: If there is any dispute about the receipt or validity of any entry or any other aspect of the promotion, this will be decided by the promoter. The promoter’s decision regarding any aspect of the promotion is final and binding and no correspondence will be entered into about it. The Promoter reserves the right to cancel or amend this promotion due to events or circumstances arising beyond its control. The promoter is not responsible for any third-party acts or omissions.
10.WINNER LIST: Winners’ surnames and respective counties of residence, and the names of the winning Causes, can be obtained by sending an email to competitionsupport@coop.co.uk no earlier than 4 weeks and no later than 6 weeks of the winners being drawn. By entering, Members consent to such information being disclosed upon request. You have the right to ask that we stop any consent-based processing of your personal data after you withdraw that consent.
11.AGREEMENT TO THESE TERMS AND CONDITIONS: Entry to this promotion shall constitute your acceptance of these terms and conditions and your agreement to be bound by them. These terms and conditions take effect immediately upon entry to the promotion. These terms and conditions prevail in the event of a conflict or inconsistency with any other communications, including advertising or promotional materials. If you do not accept these terms and conditions in full, you should follow the process outlined in paragraph (5.5) to be excluded from the promotion.
12.DISQUALIFICATION: We reserve the right to reject any entry, withhold any prize and disqualify you from the promotion if we suspect you of failing to comply with these terms and conditions or of fraud, cheating or dishonesty. Entries must be made personally and any entries submitted on behalf of another person will not be accepted. Entries made through agents/third parties, bulk entries, automated entries and joint submissions are not allowed. Incomplete, illegible, misdirected or late entries will not be accepted.
13.NO RESPONSIBILITY FOR ENTRIES NOT RECEIVED: We accept no responsibility for lost, damaged, incomplete, illegible or delayed entries, or entries not successfully received by us, or which are delayed, due to a technical fault, technical malfunction, computer hardware or software failure, satellite, network or server failure of any kind. We cannot guarantee uninterrupted or secure access to the entries route. Proof of submission of entry is not proof of receipt of entry.
14.USE OF PERSONAL INFORMATION TO ADMINISTER PROMOTION: We, other members of the Co-operative Group and 3rd party agencies acting on our behalf, may collect personal information from you in accordance with the Data Protection Act 2018 and other applicable data privacy laws. We and other members of the Co-operative Group will only use your information for the purposes of administering this promotion. 15.CANCELLATION OR WITHDRAWAL OF PROMOTION: We reserve the right at our absolute discretion to withdraw or cancel this promotion without prior notice and without liability to any party if it becomes necessary to do so.
16.CHANGES TO THESE TERMS AND CONDITIONS: We reserve the right to amend these terms and conditions at any time. It is your responsibility to keep up to date with any such changes. Revised terms and conditions will be available at coop.co.uk/terms.
17.LIMITATION OF LIABILITY: All conditions, warranties and representations expressed or implied by law or otherwise in connection with the Prizes or this promotion are excluded to the fullest extent permitted by law and the Promoter shall be under no liability whatsoever or howsoever arising in connection with any loss, damage or injury suffered as a direct result of the provision or use of the Prizes or entry to the promotion. The Promoter makes no attempt to exclude or limit its liability for death or personal injury arising as a result of its negligence.
18.RELEVANT LAW: This promotion and these terms and conditions are governed by the laws of England, and you agree to submit to the jurisdiction of the English courts if any dispute arises.
19.GENERAL: The Promoter is not responsible for any third-party acts or omissions. We cannot guarantee that the event will be free from disruptions, failings, or cancellations. We are not liable for such disruptions, failings, or cancellations unless they are caused by our negligence.
