Terms and conditions

Promoter

  • This promotion is operated by Co-op Insurance Services (Promoter). Co-op Insurance Services is a trading name of Co-op Insurance Services Limited a Registered Society, registered under registration No.4390 whose registered office is at 1 Angel Square, Manchester, M60 0AG. 
  • Co-op Insurance Services Limited is authorised and regulated by the Financial Conduct Authority and appears on the Financial Services Register under number 779364 (“Co-op   Insurance”). 
  • References to ‘we’, ‘us’ or ‘our’ in these terms and conditions are references to the Promoter. 
  • The administrator of this promotion is Take Time, a trading name of The Marketing Lounge Partnership Limited whose registered office is at The Cow Shed, Walnut Tree Farm, Lower Stretton, Cheshire WA4 4PG (Take Time). Registration number 06467245. 

The offer

  • This promotion runs from 2 July 2024 10:00AM BST (Start Date) until 10 September 2024 10:00 AM 2024 or until all Offers have been redeemed, whichever is earlier (End Date). 
  • The first 500 customers with a billing address in the UK who buy a dog insurance policy direct with Co-op at the dog insurance page or though the contact centre (Eligible Policy) between the Start Date and the End Date will be eligible to receive a free one night stay at a Participating Venue (Offer). 
  • Your Eligible Policy must be in force for a minimum of 90 days with premiums up to date before you can claim the Offer. 

Notification and application of the offer

  • There is no requirement to enter a promotional code at the point of purchasing the Eligible Policy as Take Time will identify all eligible customers. 
  • Only one Offer per Eligible Policy bought. 

Redeeming the offer

  • Eligible customers will receive a “How to Claim” email  within 15 days of their policy passing the eligible 90 day period, which will include the Offer details, unique booking code (Unique Code) and associated T&Cs. 
  • Eligible customers will be able to redeem their Unique Code and book their free one night stay by contacting Take Time on the details provided in the email. 
  • The Unique Code will be valid for 18 months from the date of the email. 

Additional terms

  • The Offer has no cash value and cannot be exchanged for cash, or any alternative accommodation that is not a Participating Venue.
  • You must notify us if there are any issues with receiving your How to Claim email within 6 months of your policy start date, by contacting Take Time by phone on 01565 656 468 during office hours Monday – Friday 9.00 am – 5.00 pm (excluding Bank Holidays) or by email on reservations@bookings.mlp.agency
  • Where you fail to contact Take Time within 6 months of your policy start date, we may in our absolute discretion refuse to fulfil the Offer without liability to you. 

Limitations

  • This Offer entitles you to a free one night stay for two adults (or one adult and one child) with one pet in a Participating Venue, on an accommodation only basis, free of charge with no obligation to purchase meals or beverages. 
  • The Offer is based on 2 adults (or one adult and one child) and a pet sharing a standard twin or double room. Room upgrades (e.g. to a family room) to include additional guests or pets (as described in clause 19) are chargeable and are to be paid for at the time of booking. Should your requirements differ from this standard offering, please notify our Take Time Reservations Department at time of booking. 
  • For the avoidance of doubt, as part of this Offer, a pet is defined as a maximum of one dog. 
  • Additional pets are subject to the venue’s availability and chargeable to the customer on a per pet, per night basis. Requests for additional pets are to be stipulated and prepaid for at the time of booking. 
  • For any pets other than dogs, please check with the central reservations team on individual venue’s pet policies. 
  • Please note, some venues may enforce restrictions based on pet size or breed. 
  • Children under the age of 16 may not utilise the Offer without an accompanying adult. Children under the age of 16 are subject to the venue’s children rates and terms & conditions. 
  • This Offer can only be redeemed by the eligible customer it was issued to and cannot be transferred, gifted or sold. 
  • Bookings can only be made at the venues listed on the Dog Friendly Stay website (Participating venue(s)) and can only be made between 1 – 14 days in advance of the preferred booking date. Same day bookings and bookings made further than 14 days in advance cannot be accepted. 
  • Please refer to your accompanying correspondence for the date your Dog Friendly Stay needs to be booked and taken by. 
  • Bookings can only be made via the dedicated Take Time Reservations department using the details provided in the How to Claim email, any booking or enquiries made directly with the venue will not be honoured. 
  • The Offer applies to bookings made in advance through Take Time Reservations department and does not apply to guests altering a visit after a booking is made. 
  • All stays are subject to the venue’s availability for the Offer. This availability will fluctuate throughout the year. Some hotels operate a strict room allocation policy for promotional bookings. 
  • This Offer does not apply to reservations that include public or bank holiday periods in the UK and Ireland, Valentine’s Day, Easter, Christmas and New Year periods. Availability may be limited during other key periods e.g. Mother’s Day and school holidays. 
  • Meals and beverages are not included in the Offer. Any payment for meals and beverages will need to be settled with the venue at the time of purchase or when checking out of the venue. 
  • A charge will apply for room upgrades/special facilities (sea/lake view/four poster beds) or any other such supplements e.g. additional pet supplements. 
  • Any extra nights’ accommodation or room upgrades are chargeable and are to be paid at the time of booking. Bookings are made on a non-transferable basis; rooms are pre-paid for and reserved prior to arrival in accordance with the original booking. 
  • Prices for any extra nights, room upgrades and meals are valid at date of this offer going live but may be liable to change. 
  • If booking more than one night’s accommodation up to 100% of any additional nights will be charged. Any changes to your booking will be treated as a cancellation. 
  • If a booking is cancelled the Unique Code will become void and no monies will be refunded. Any payments made for room upgrades, or meals for the length of your stay will not be refunded. 
  • Cost of travel to the venue and the cost of any travel or holiday insurance associated with the use of the Dog Friendly Stay for two Offer is excluded and is entirely at the expense of each individual. Spending money is not included within the offer. 
  • A maximum of one Unique Code can be used per single booking. Separate bookings, which are believed to be part of the same party, may not combine their unique booking numbers to create a consecutive night stay. 
  • Each venue has confirmed its willingness to participate in this promotion. The Promoter or any associated partner cannot be held responsible for any hotel subsequently declining acceptance of a booking using the Offer. 
  • Venues featured and all information is correct at time of publishing but may be liable to change. 
  • The terms and conditions of each venue apply. 
  • The Promoter and any associated partner shall not be liable for any failure or breach by individual venues and accept no responsibility for any loss suffered by any participant of the promotion. 
  • The Promoter or any associated partner accepts no liability for loss caused, damage to property or personal injury whilst on the premises of individual venues, whether caused by the acts or omission of any third party. 
  • No liability can be accepted for personal loss, damage to property or injury at featured venues. Venues provide their own public liability insurance. Individuals may take out their own private insurance. 
  • This promotion cannot be used in conjunction with any other promotions or discount schemes or cards generated by either the Participating Venues or Take Time. 
  • Take Time or any associated partner reserve the right to alter, amend or withdraw this offer without prior written notice at their absolute discretion. 

Exclusions

  • This Offer is for new Co-op Dog Insurance policies only being purchased through the Co-op Insurance website or contact centre.  
  • If you are taking out a new Dog Insurance policy you must not have another Dog Insurance policy covering the same pet with Co-op Insurance Services at the time of purchase in order to qualify for this Offer. 
  • Subject to all other exclusions in these terms and conditions, Customers with a previously valid Co-op Dog Insurance policy that ended before the time and date of purchasing the Eligible Policy will be eligible to participate in this promotion. 
  • Policies bought via price comparison websites or cashback sites are not eligible for this offer. 
  • If you cancel within 90 days of the policy start date, you will not be eligible to receive the Offer. For the avoidance of doubt, eligible policies bought in conjunction with Co-op Membership exclusive offers will still be eligible for this Offer. 
  • The underwriter reserves the right to decline any application for any insurance policy at its absolute discretion and is not obliged to disclose any reason for rejection. 

Decisions of the Promoter

  • If there is any dispute about the receipt of validity of any entry or any other aspect of the promotion, this will be decided by us. Our decision regarding any aspect of the promotion is final and binding and no correspondence will be entered into about it. 

Agreement to these terms and conditions

  • Entry to this promotion shall constitute your acceptance of these terms and conditions your agreement to be bound by them. These terms and conditions take effect immediately upon entry to the promotion. 
  • We reserve the right to amend these terms and conditions at any time. Revised terms and conditions will be available at coop.co.uk/insurance/about-us/our-promotions/dog-friendly-stay. It is your responsibility to keep up to date with any such changes. 

Disqualification

  • We reserve the right to not award the offer and disqualify any individual from entitlement to the offer if we suspect them of failing to comply with these terms and conditions or of fraud or dishonesty. 

Use of personal information to administer promotion

  • We, other members of the Co-operative Group and 3rd party agencies acting on our behalf, may collect personal information from you in accordance with the Data Protection Act 2018 and other applicable data privacy laws. Relevant law

  • This promotion and these terms and conditions are governed by the laws of England, and you agree to submit to the jurisdiction of the English courts if any dispute arises.
